The book of business for an independent insurance agency
Ballast CRM keeps your households, quotes, renewals, and commissions in one place, and starts each morning with a list of who to call. Built for agencies that sell home and auto.
Your whole book, one search away
Every household with its status, contact details, policy count, annual premium, and next renewal. Search by name, phone, email, city, or any member, or press Ctrl-K from anywhere.
- Clients, prospects, and former clients, with your own tags
- Import from a spreadsheet, with duplicates caught before they land
- Export to CSV whenever you like
Every household on one page, with the gaps in plain view
Members, drivers, vehicles, properties, policies, quotes, claims, documents, and every call and note sit together. The coverage-gap check flags what a household doesn't carry with you yet, like an umbrella over auto and home, and starts the quote in one click.
- Tags, lead source, and who referred them
- Dec pages and ID cards stored encrypted with the household
- Email templates that fill in names, lines, and renewal dates
A quote pipeline you can see at a glance
Quotes move from Lead to Contacted, Quoting, and Quoted, then Sold or Lost with a reason. Drag a card to change its stage. Each card shows the line, the current carrier, the X-date, and when to follow up.
- Filter by line of business or lead source
- Marking a quote Sold creates the policy
- Quotes with no follow-up in 14 days are marked as stalled
Renewals before they slip
See every active policy expiring in the next 30, 60, 90, or 120 days, overdue ones included, with the term and annual premium totaled. Mark it Renewed and the policy rolls into its next term and adds the renewal commission.
- Premium history per policy, with a flag when a renewal jumps
- Cancel with a date and reason; the household becomes a former client when its last policy ends
Know what each carrier owes you
Commission lines are created as you write and renew business. Ballast CRM shows what's owed now, what's coming due on installment plans, what you've received, and where a carrier paid short.
- Reconcile a carrier statement line by line
- Rates by carrier and line, new and renewal
- Production by month, line, carrier, and producer
Your clients' information, kept the way it should be
An agency's book is personal information about real families. Ballast CRM is built to protect it, and the app explains every protection in plain English on its own Security page.
-
Encrypted database
Your whole book is one encrypted database file. A stolen copy of the file is unreadable.
-
Two-factor sign-in
Use an authenticator app or a code sent by email, with backup codes for a lost phone.
-
Idle lock
Step away and the screen locks itself. Your password opens it again.
-
No SSNs or card numbers
Social Security, driver's license, and bank or card numbers are refused when you save and blanked when you import.
-
Nightly encrypted backups
A copy is taken every night and kept for 14 days. You can also download a backup sealed with your own passphrase.
-
30-day trash
Deleted households, policies, quotes, tasks, claims, and documents can be restored for 30 days.
One plan, two ways to pay
Every feature, for your whole agency. Pay by the month, or by the year and get two months free.
If you stop paying, your workspace becomes read-only. You can still open every record and export everything.
